Obtaining a VPAT for Compliance 

To continue providing products or services that interact with students, faculty, staff, or the public, vendors must submit an updated Voluntary Product Accessibility Template (VPAT). This guide explains the steps to prepare a VPAT compliant with WCAG 2.1 AA criteria.

  1. Use the Latest VPAT Template

    Download the most current VPAT template (available from the Information Technology Accessibility resources). Ensure it aligns with:

    • WCAG 2.1 Level AA standards.
    • Any updated accessibility requirements provided by the client.
  2. Test Your Software for Accessibility

    Conduct internal testing against accessibility standards. Key areas to test include:

    • Screen reader compatibility (JAWS, NVDA).
    • Keyboard navigation (No mouse interaction).
    • Color contrast and visual accessibility.
    • Forms, labels, and ARIA attributes.

    Document any gaps or limitations clearly in the VPAT.

  3. Engage a Third-Party Consultant

    (Optional but Recommended) Consider hiring a recognized accessibility consultant to:

    • Audit your software.
    • Validate your internal testing.
    • Help complete the VPAT accurately to meet legal expectations.
  4. Use Automated Tools as a Supplement

    Automated tools can quickly identify common accessibility issues. However, manual testing is still essential for:

    • Dynamic content.
    • Interactive features.
    • Unique workflows.
  5. Complete the VPAT

    Fill in all sections, clearly noting:

    • How each accessibility standard is met.
    • Any known gaps or exceptions.
    • Planned remediation or updates.

    Ensure the VPAT reflects the current version of the product.

  6. Submit and Update as Needed

    Submit the completed VPAT to the accessibility review team. Keep the VPAT up to date with any new product versions or features.

Key Notes for Vendors

Student-facing software must be fully compliant.
