Common questions regarding the accessibility review process and vendor compliance.
How do we determine if a vendors software is accessible?
We use a rubric that evaluates vendors against digital accessibility standards (such as WCAG 2.1 or higher). This rubric is currently in use by multiple universities across Texas. This shared approach helps ensure consistency and best practices across higher education.
What if a VPAT is out of date?
Vendors with out-of-date VPATs may still be conditionally approved; however, they will be required to provide an updated VPAT by April 2026 to remain an active vendor.
Are all accessibility decisions final?
No. Accessibility reviews are contextual. If the scope of use changes (for example, a tool originally used by staff expands to serve students or the public), the contract must be revisited to ensure compliance with accessibility standards.
Why dont we just publish a list of accessible and inaccessible products?
Each case requires individual review, since accessibility depends not only on the product itself but also on how it is used and who the end users are. Instead of a static list, we provide feedback and notes on each procurement request. This approach helps train purchasers and departments to better understand accessibility requirements over time.
